1. Introduction

TalentPipelinePro ("we," "our," or "us") is a service operated by INTEGIRA from Spain, providing UK recruitment agencies with hiring-signal intelligence sourced from public company records. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use talentpipelinepro.com and related services (the "Service"), and is written to be clear about how we handle data drawn from Companies House, the UK's official registrar of companies.

2. Information We Collect

We collect two distinct categories of information:

  • Account information you provide directly, such as your name, email address, and password, if you register for or are granted access to the Service.
  • Public company register data, sourced from the Companies House API, about UK companies the Service screens or tracks - company name, company number, registered office region, incorporation date, filing history, registered charges, and officer details (name, role, appointment date, and month/year of birth, which is all Companies House discloses). This can include personal data about named directors and persons with significant control, drawn entirely from information Companies House already makes public.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Identify genuine, dated, publicly-verifiable business signals (such as a fresh director appointment or a registered charge) that may indicate a company is growing or hiring
  • Generate signal dossiers and prospect lists for recruitment agencies using the Service
  • Operate account authentication and basic service administration
  • Protect against fraudulent, abusive, or unlawful activity

4. Companies House Data

This section exists specifically to explain how we use data obtained via the Companies House API, since Companies House is both a public authority and, for the officer and PSC data it discloses, a source of personal data:

  • Source and scope. All company, officer, filing, and charge data comes directly from the Companies House public register via its official API. We do not obtain this data from any other source, and we do not combine it with other databases to build a profile of any individual beyond what Companies House itself already discloses.
  • Purpose limitation. This data is used exclusively to identify dated, publicly-verifiable business signals relevant to recruitment-agency prospecting, never to build a general-purpose people-search or credit-reference product, and never resold or licensed on as a standalone dataset.
  • No automated decisions with legal effect. We do not use this data to make any automated decision that produces legal effects, or similarly significant effects, concerning any named individual.
  • Individual rights. If you are a director or person with significant control named in data we display and have a question about it, you can contact us using the details in Section 11. Note that the underlying facts (your appointment, role, and filing history) remain part of the public register maintained by Companies House itself, which is the original data controller for that base data; corrections to the register itself should go to Companies House directly.
  • Compliance. Our use of the Companies House API complies with Companies House's own terms of use for its public data.

5. Third-Party Service Providers

We do not sell your personal information. We share data only with the following service providers who process data on our behalf:

  • Railway - application and database hosting (railway.app/legal/privacy)
  • Anthropic - AI-generated analysis within signal dossiers (anthropic.com/privacy)
  • Companies House - source of public company and officer data (gov.uk/government/organisations/companies-house/about/personal-information-charter)

All providers are contractually bound to process data only as instructed and to implement appropriate security measures. This list will be updated as the Service adds functionality (for example, payment processing or email delivery).

6. For Recruitment Agency Customers

If you use the Service as a recruitment agency customer, the following applies to prospect lists and signal dossiers made available to you:

  • Dossiers and prospect data are provided to help you identify genuinely timely companies to approach about your services, not as a claim that any named company currently has an open role.
  • You are responsible for your own lawful use of any personal data (such as a named director) included in material we provide, including compliance with UK GDPR and PECR if you contact any individual identified through the Service.
  • You may not resell, republish, or redistribute dossiers or prospect data as a standalone dataset, or use them to build a competing product.

7. International Data Transfers

Some of our service providers are based in the United States. When we transfer personal data from the EU/UK to the US, we rely on Standard Contractual Clauses (SCCs) or other lawful transfer mechanisms as required under GDPR and UK GDPR.

8. Data Security

We implement appropriate technical and organisational measures to protect information against unauthorised access, alteration, disclosure, or destruction, including TLS encryption in transit and access controls limiting data visibility to authorised parties. However, no method of transmission over the internet or electronic storage is 100% secure.

9. Data Retention

We retain company and officer data drawn from Companies House for as long as it remains useful for the purpose described in Section 4, and account information for the duration of your account plus 12 months. You may request deletion of your account information at any time.

10. Your Rights (GDPR / UK GDPR)

You have the following rights over your personal data:

  • Right of access - request a copy of the data we hold about you
  • Right to rectification - correct inaccurate or incomplete data
  • Right to erasure - request deletion of your data
  • Right to restrict processing - limit how we use your data
  • Right to data portability - receive your data in a portable format
  • Right to object - object to processing based on legitimate interests

11. Cookies
